What is License Reclaim?

License reclaim (or license reclamation) is the process of identifying and recovering software licenses that are unused, underused, or assigned to departed employees, so they can be cancelled or reassigned. It is one of the fastest ways to cut SaaS spend, because organizations routinely pay for seats that nobody actively uses.

How license reclaim works

  • Detect seats that are dormant, underused, or held by leavers.
  • Confirm the seat is genuinely unneeded (usage data, not guesswork).
  • Reassign the seat to someone who needs it, or cancel it.
  • Tie reclamation to offboarding so leaver seats free automatically.
  • Repeat continuously rather than once a year.

Common reclaim triggers

Several triggers should prompt a license reclaim. When an employee leaves, free the seat at offboarding. When there is no login for 30 to 90 days, flag the dormant seat for review. When a role changes, remove seats the new role does not need.

Examples and use cases

After a reorganization, dozens of premium CRM seats sit idle because their owners moved teams. License reclaim flags them, reassigns what is needed, and cancels the rest at renewal. Done continuously and linked to deprovisioning, reclamation steadily lowers spend and is a key contributor to cutting SaaS cost by up to 30%. The hard part is reliable usage data across every app, which is where automation matters.

FAQ

What is the difference between license reclaim and license management?

License management is the broader practice of governing licenses. License reclaim is the specific action of recovering unused or departed-user seats within it.

What triggers a license reclaim?

Common triggers are employee departures, prolonged inactivity on a seat, and role changes that make certain licenses unnecessary.

How does reclaim reduce SaaS cost?

By cancelling or reassigning seats nobody uses, it removes recurring spend that delivers no value, often a fast and low-risk saving.
